How do I load a collection of encyclopedias?
- Load the first document/ volume of e.g. a set of encyclopedias.
- Click the Record Selector bar to select the entire record
- Click Edit: Copy
- A copy of the record is placed on the clipboard.
- Click * to move to a new record.
- Fill in any character e.g. M into the three mandatory (red) fields.
- Double click the Record Selector bar on the new record.
- Click Edit: Paste
- The second record is displayed with the same information as the first record (i.e. the record that you placed on the clipboard)
- Change the Barcode and Accession Number fields as well as any other field that you want to change on the 2nd record.
- Move to a new record and follow steps 5 to 8 to add e.g. the 3rd volume/ document.

How do I find a specific book?
You can move directly to a specific record / book by making use of the Edit: Find option. Search on any known field.
Note: Click the known field on the List of Documents form first before you type what you are looking for in the Find What: field

Does the system restrict the number of books to be borrowed?
The system will not restrict a lender to the number of books that he can borrow. The library administrator can see how many books a lender already has on loan before he issues a new book on loan.

Is it necessary to save new records or changes?
It is not necessary to save a record after you entered it into the system. The system saves all records automatically.

How do I navigate between fields?
Press <Tab> to move to a new field and <Shift Tab> to move to the previous field.

How do I delete a record?
A record can be deleted unless it is a record that is locked. The system will give a warning message if you are not allowed to delete the record.
- Ensure that the document that you want to delete is displayed.
- Click Edit: Delete Record on the main Access menu bar.
- A warning message will ask “Are you sure you want to remove this document?”
- Click <OK>
